Buyer's guide Β· Marketing

We compared six direct mail automation platforms on published pricing, free plans or trials, per-piece costs, triggers and integrations, tracking and compliance, and the main limitation a buyer should check first.

TL;DR
  • Marketer without developers: Postalytics β€” Free plan at $0 a month with triggered drip campaigns, QR codes, pURLs and pay-per-piece pricing including postage.
  • Developer sending low volumes: PostGrid β€” Starter plan with no monthly fee for up to 500 mailings a month and published per-piece letter and postcard rates.
  • Product team embedding mail at scale: Lob β€” Free Developer plan up to 6,000 mailings a year, with Startup from $260 and Growth from $550 a month.
  • Sales team sending handwritten notes: Handwrytten β€” Robot-written cards with real pens, API on all business plans and per-card prices from $1.99 down to $1.19.
  • Enterprise marketing ops on Salesforce or Marketo: PFL β€” Automated direct mail connected to Salesforce, Marketo, Eloqua and Iterable with 25+ mail formats.

Direct mail automation software lets businesses send postcards, letters, checks, handwritten notes and gifts in the same way they send email: triggered by an event, personalized from customer data and tracked to delivery. Instead of exporting a list to a print shop, a CRM, marketing automation platform or application calls the vendor through an integration or API; the vendor prints near the destination, applies postage and reports status. Common uses include abandoned cart and win-back postcards, onboarding letters, invoices and checks, account-based marketing touches and thank-you notes after sales meetings. Buyers range from small marketers testing a first triggered campaign, to software teams embedding mail into their product, to enterprise marketing operations running millions of personalized pieces across regulated industries.

We assessed each platform on six fields: published pricing, free plan or trial, per-piece pricing, triggers and integrations, tracking and compliance, and the main limitation. Products are listed in practical buyer order, from self-serve tools with published rates to quote-led enterprise and gifting programs; this is not a quality ranking. All prices and plan details were checked on official vendor pricing and product pages on 12 October 2026. Per-piece rates usually include printing and postage but change with USPS rate updates, so confirm current rates before you budget a campaign. Prices are in US dollars.

The 6 options in detail

1

Postalytics

Best for marketers without developers

Best for: Marketing teams and agencies that want triggered and drip direct mail from their CRM without writing code.

AttributePostalytics
Published pricingFree $0/month; Marketer $199/month; Pro and Agency $399/month; all plus per-piece charges
Free plan or trialFree plan with unlimited campaigns, templates and lists and 1 user login
Per-piece pricing6x9 standard postcard $1.048 on Free, $0.928 Marketer, $0.838 Pro at 0 to 2,499 pieces; includes print and postage
Triggers and integrationsTriggered and drip campaigns; HubSpot, Zoho, ActiveCampaign, Keap and Zapier on all plans; Salesforce on Pro only
Tracking and complianceIMB mail tracking, personalized QR codes and pURLs on all plans; Response Center on Pro
Main limitationSalesforce integration and multi-touch Flows require the $399 Pro plan
  • Per-piece prices include printing, postage and paper, and fall with volume, for example $0.808 per standard postcard on Pro at 10,000 to 24,999 pieces.
  • The Agency Edition option on Pro adds white-label and multi-client management for agencies running mail for clients.
  • The best per-piece rates and Salesforce support sit on the $399 a month plan, which only pays off at steady volume.

Our take: Postalytics is designed for marketers who want direct mail to behave like an email channel. You build a design in its editor or from templates, connect a list or CRM, and set triggers such as a purchase, birthday or form fill to send pieces automatically. Every plan includes mail tracking through Intelligent Mail barcodes, personalized QR codes and pURLs at no extra cost, so you can measure response as well as delivery. The Free plan is genuinely usable for a pilot because you pay only per piece. Marketer adds suppression lists, dashboards and most integrations, while Pro adds multi-touch Flows, Salesforce, webhooks and unlimited users. In a trial, run a small triggered postcard campaign and compare per-piece cost across plans at your expected annual volume. Compared with Lob and PostGrid, Postalytics needs no developers; compared with PFL, it is more self-serve and better suited to small and mid-size teams.

2

PostGrid

Best for developers at low volume

Best for: Developers and small businesses that want a print and mail API with no monthly fee for modest volumes.

AttributePostGrid
Published pricingStarter $0 monthly fee for up to 500 mailings a month; Enterprise custom with guaranteed lowest rates
Free plan or trialTest account that switches to live mode; no separate paid trial described
Per-piece pricingStarter: letter B&W First Class $1.059, 4x6 postcard First Class $0.902, check $1.18, including postage
Triggers and integrationsPrint and mail API; Salesforce, HubSpot, Zapier, Marketo and QuickBooks integrations listed; native integrations on Enterprise
Tracking and complianceHIPAA, SOC, PCI, PIPEDA and PHIPA badges; HIPAA-compliant mailings and NCOA on Enterprise
Main limitationStarter allows 1 user and 10 templates, and the page shows a second, higher rate table without clear labels
  • PostGrid also sells US, Canada and international address verification APIs covering 245+ countries, useful for cleaning lists before sending.
  • Checks are supported on Starter with up to 50 checks a month, which helps finance teams automate payments by mail.
  • The pricing page shows two rate tables, one much higher for some mail types, so confirm which rates apply to your use case.

Our take: PostGrid offers an API for sending letters, postcards and checks, plus address verification, and is a common choice for developers in the US and Canada. The Starter plan has no monthly fee and covers up to 500 mailings a month at published per-piece rates that include printing, processing and postage, with one user and ten templates. You start in a test account and switch to live mode when ready. Enterprise unlocks unlimited users and templates, custom delivery SLAs, HIPAA-compliant mailings, NCOA processing, custom envelopes, SSO and a dedicated account manager. Before committing, ask support which rate table applies to marketing versus transactional mail, since the page lists higher Starter prices in a second table, and note the 200-piece minimum for standard-class marketing mail. Compared with Lob, PostGrid is simpler for low volume; compared with Postalytics, it expects a developer or an integration rather than a marketer-friendly campaign builder.

3

Lob

Best for high-volume API mail programs

Best for: Product and engineering teams embedding automated print and mail at high volume, with tiered plans and an enterprise path.

AttributeLob
Published pricingDeveloper $0/month up to 6,000 mailings a year; Startup from $260/month; Growth from $550/month; Enterprise custom
Free plan or trialFree Developer plan; 30-day free Enterprise trial for high-volume senders, print and postage billed
Per-piece pricingPostcards from $0.905 on Developer to $0.615 on Growth; letters from $0.828 to $0.628; checks from $1.190
Triggers and integrationsAPIs and SDKs; Braze and Iterable integrations listed; no-code integrations on paid plans
Tracking and complianceIn-transit tracking and analytics dashboard; HIPAA-compliant mailing support on Enterprise
Main limitationDeveloper plan has no no-code integrations and only 1 user
  • The Print Delivery Network prints mail near its destination, which Lob says shortens transit time for large campaigns.
  • Address verification is available as an add-on with volume pricing, for example US checks at $0.009 each beyond the Growth allowance.
  • Platform fees start at $260 a month once you outgrow the free tier, and specialty formats and HIPAA support need Enterprise.

Our take: Lob is a long-established API platform for direct mail and address verification. Developers create postcards, letters and checks from templates through the API, and Lob routes them to a print partner close to the recipient and tracks them through USPS. Plans scale by annual volume: the free Developer tier handles up to 6,000 mailings a year, Startup up to 75,000 and Growth up to 150,000, with per-piece prices falling at each step. Marketing teams can use the no-code design suite and integrations with tools such as Braze and Iterable on paid plans. For high-volume senders, a 30-day Enterprise trial lets you test discounted rates, with print and postage billed. In evaluation, model your annual volume against both platform fee and per-piece price to find the cheapest tier. Compared with PostGrid, Lob offers more volume tiers and enterprise features; compared with Postalytics, it is better for product teams than for marketers without developers.

4

Handwrytten

Best for automated handwritten notes

Best for: Sales, customer success and nonprofit teams that want robot-written notes in real pen triggered from their CRM.

AttributeHandwrytten
Published pricingPro $449, Enterprise $649, Elite $849, Agency $2,499 per month on monthly billing, with lower rates shown for annual
Free plan or trialNo free trial listed; free samples offered
Per-piece pricingPer card $1.99 on Pro down to $1.19 on Agency; retail $3.75; postage extra at USPS rates
Triggers and integrationsAPI on all business plans; Salesforce, HubSpot, Shopify, Blackbaud, Zapier and Make integrations
Tracking and complianceDelivery to the US, Canada and 190 other countries; delivery tracking free on Elite
Main limitationHigher cost per piece than printed postcards, so best for high-value moments
  • Handwriting robots hold real pens, so notes look handwritten rather than printed in a script font.
  • Consumer-style plans from $100 a month for 24 cards suit smaller teams, with unused credits rolling over.
  • Cost per piece is higher than printed mail, and postage is billed on top of the card price.

Our take: Handwrytten automates something hard to fake: a handwritten card. Robots hold real pens and write your message in a chosen handwriting style, then cards are stamped and mailed First Class. That makes it useful for thank-you notes after a sales meeting, onboarding welcomes, donor appreciation and renewal touches where personal effort is noticed. Business plans include API access and integrations with Salesforce, HubSpot, Shopify, Blackbaud and automation tools, so a deal stage change or new donor can trigger a card automatically. Plan fees fall with annual billing, and per-card prices fall as you move up tiers. Ask for free samples and test one triggered workflow from your CRM before choosing a plan. Compared with Postalytics or Lob, Handwrytten costs more per piece but serves a different purpose; compared with Sendoso, it focuses on notes rather than gifts and swag.

5

PFL

Best for enterprise marketing automation

Best for: Enterprise and regulated marketing teams that want direct mail orchestrated from Salesforce, Marketo or Eloqua.

AttributePFL
Published pricingQuote-based; no prices published
Free plan or trialNo free trial; free strategy audit offered
Per-piece pricingNot published; depends on format, volume and personalization
Triggers and integrationsAutomated Direct Mail connects to Salesforce clouds, Marketo, Oracle Eloqua and Iterable
Tracking and complianceServes healthcare payers and providers, financial services and other regulated industries
Main limitationNo self-serve entry point or published rates
  • More than 25 mail formats and volumes from hundreds to millions of pieces are supported.
  • PFL offers both automated direct mail through your martech stack and a traditional direct mail service.
  • Everything is scoped through sales, so small teams cannot test pricing or workflows on their own.

Our take: PFL focuses on direct mail for larger marketing organizations that run campaigns from enterprise platforms. Its Automated Direct Mail product connects to Salesforce Marketing Cloud and Sales Cloud, as well as Financial and Health Cloud, plus Marketo, Oracle Eloqua and Iterable, so mail steps sit inside the same journeys as email and other channels. You can personalize from your own data and trigger sends at any scale. PFL also offers a traditional direct mail service for teams that do not want to integrate. Its industry focus includes healthcare payers and providers and financial services, where compliance and data handling matter. In a sales conversation, ask for per-piece pricing at your volume, data security documentation and how response is measured back in your platform. Compared with Lob or PostGrid, PFL is less developer-oriented and more of a managed partner; compared with Postalytics, it targets bigger enterprise programs.

6

Sendoso

Best for gifting and swag programs

Best for: B2B sales and marketing teams that combine direct mail with gifts, swag and event sends from one platform.

AttributeSendoso
Published pricingQuote-based; plans include Start With Merch, Start With Gifting, Core, Advanced and Enterprise
Free plan or trialNo free trial listed; demo and sales discussion
Per-piece pricingNot published; depends on items, fulfillment and plan
Triggers and integrations100 marketplace sends a month on Start With Gifting; unlimited sending on Core and above; 2 to unlimited integrations by plan
Tracking and complianceOwn fulfillment center for gifting and direct mail; storage and fulfillment by region per plan
Main limitationPricing is not public and core direct mail is one part of a broader gifting platform
  • Licenses scale from 5 on entry plans to 10 on Core and 50 on Advanced, which suits sales teams sending from their own accounts.
  • Event sending and bulk sending are included on Core and above for field marketing programs.
  • Without published prices or a trial, comparing cost per send with pure mail platforms requires a quote.

Our take: Sendoso is a sending platform that combines gifts, branded merchandise, eGifts and direct mail, which makes it a fit for account-based programs where a postcard is one of several physical touches. Sales reps and marketers send from a marketplace or from warehoused swag, and Sendoso's fulfillment center handles storage and shipping. Plans differ by licenses, sending limits, fulfillment regions and integrations, from a merch-only starter plan to unlimited sending on Core, Advanced and Enterprise. Because prices are not published, ask for a breakdown of platform fee, item costs, fulfillment and postage. In a demo, test sending from your CRM to a target account list and confirm how delivery and acceptance are tracked. Compared with Handwrytten, Sendoso covers gifts and swag rather than handwritten notes; compared with Postalytics or Lob, it is less focused on high-volume printed mail and more on personalized B2B outreach.

How to choose direct mail automation software

Start with your use case and volume

Separate marketing mail such as postcards and catalogs from transactional mail such as invoices, notices and checks, and from high-touch sends such as handwritten notes and gifts. Estimate annual volume for each. Lob and PostGrid price tiers by volume, Postalytics lowers per-piece rates on higher plans, and Handwrytten and Sendoso fit lower-volume, higher-value sends. Knowing your mix tells you whether one vendor is enough or whether you need a mail API plus a gifting or notes platform.

Decide who will run it: marketers or developers

API-first platforms such as Lob and PostGrid give developers full control and suit product-embedded mail. Marketer-focused tools such as Postalytics offer an editor, audience builder and CRM integrations without code. Enterprise platforms such as PFL connect to Salesforce, Marketo and Eloqua and are often managed with vendor support. Pick a tool whose workflow matches the team that will own it day to day, or campaigns will stall waiting for engineering time.

Compare total cost per piece

Most vendors quote per-piece prices that include printing and postage, but the effective cost also includes platform fees, address verification, custom envelopes and minimums. Divide the annual platform fee by expected volume and add it to the per-piece rate. Check whether marketing mail needs minimum quantities, such as PostGrid's 200-piece minimum for standard-class marketing mail. Remember that USPS rate changes pass through to your price, so build a margin into campaign budgets.

Check integrations and triggers

Automation depends on clean triggers from the systems that hold customer events. Confirm native connectors for your CRM, marketing automation, ecommerce platform or customer engagement tool, and whether they are included in your plan. Postalytics limits Salesforce to its Pro plan, and Lob lists Braze and Iterable integrations. Test a real trigger, such as a deal stage change or abandoned cart, during evaluation rather than relying on a list of logos.

Require tracking, data handling and compliance

Look for mail tracking through USPS Intelligent Mail barcodes, delivery and return status, and response tracking with QR codes, pURLs or call numbers. Address verification and NCOA processing reduce waste. If you mail health or financial information, confirm HIPAA support, SOC reports and data retention terms, which are often limited to enterprise plans at Lob and PostGrid. Ask how long recipient data is stored and who can access it.

How direct mail automation software pricing works

Direct mail automation usually combines a platform fee with a per-piece price that covers printing, paper and postage. Postalytics charges $0, $199 or $399 a month by plan, with a 6x9 standard postcard costing $1.048, $0.928 or $0.838 respectively at low volume. Lob offers a free Developer plan up to 6,000 mailings a year, then Startup from $260 a month and Growth from $550 a month with lower per-piece rates. PostGrid's Starter plan has no monthly fee for up to 500 mailings a month. Enterprise plans at all three are quoted and add features such as HIPAA support and custom envelopes.

High-touch formats follow different models. Handwrytten sells business plans from $449 to $2,499 a month on monthly billing, with lower rates shown for annual plans and per-card prices from $1.99 down to $1.19, plus postage at USPS rates. Smaller teams can use consumer-style card bundles from $100 a month. Sendoso and PFL quote custom contracts that combine platform access with item, print, fulfillment and postage costs. For these vendors, ask for a cost per completed send so you can compare against printed mail, and check whether unused credits roll over or expire at the end of the term.

Before you sign, model a year of sends across every format you plan to use, add address verification and minimum-quantity rules, and allow for postage increases. The cheapest per-piece rate rarely wins if the platform fee is too high for your volume.

Send yourself and three colleagues a test piece from every shortlisted vendor using real data and your own address list. Compare print quality, delivery time and tracking accuracy before you negotiate price.

Direct Mail Automation Software: frequently asked questions

What is direct mail automation?

Direct mail automation sends physical mail such as postcards, letters, checks or handwritten notes automatically when a trigger occurs in your CRM, marketing platform or application. The vendor personalizes each piece from your data, prints it, applies postage and tracks it through the postal system. It lets you add mail to customer journeys the same way you add email or SMS, without manual list exports.

How much does it cost to send a postcard through a direct mail API?

As checked on 12 October 2026, Lob lists postcards from $0.905 on its free Developer plan down to $0.615 on Growth, PostGrid lists a 4x6 First Class postcard at $0.902 on Starter, and Postalytics lists a 6x9 standard postcard from $1.048 on Free to $0.838 on Pro at low volume. Prices generally include printing and postage but change with USPS rates.

Can direct mail be triggered from HubSpot or Salesforce?

Yes. Postalytics integrates with HubSpot on all plans and with Salesforce on its Pro plan, PFL connects to several Salesforce clouds as well as Marketo and Eloqua, and Handwrytten lists Salesforce and HubSpot integrations. Lob and PostGrid can be triggered through their APIs or listed integrations. Confirm which integrations your plan includes before you build workflows.

How do you measure direct mail campaign results?

Use mail tracking based on Intelligent Mail barcodes to confirm delivery, then measure response with personalized QR codes, pURLs, unique offer codes or call tracking numbers. Match responders back to your CRM to calculate pipeline and revenue. Holdout groups that receive no mail help show incremental lift. Postalytics includes QR codes, pURLs and tracking on all plans, and Lob includes in-transit tracking and analytics.

Is direct mail automation HIPAA compliant?

Some vendors support HIPAA-compliant mailing, but usually on enterprise plans. Lob lists HIPAA-compliant mailing support on Enterprise, PostGrid lists HIPAA-compliant mailings on Enterprise, and PFL serves healthcare payers and providers. Ask for a business associate agreement, security documentation and data retention terms. This is general information, not legal advice; check requirements with your compliance team.

When does handwritten mail make sense compared with printed mail?

Handwritten notes cost more per piece, with Handwrytten listing business plan cards from $1.99 to $1.19 plus postage, so they fit high-value moments: thank-you notes after a sales meeting, donor appreciation, renewals or VIP customers. Printed postcards and letters are better for large audiences such as win-back or acquisition campaigns. Many teams use both, reserving handwritten notes for small, high-priority segments.
