Spend analysis software — Coupa, SpendHQ, Sievo, Spendesk, Torii, Zluri — has no free tier anywhere, so free spend analysis is assembled from three kinds of thing: a reporting tool with no licence (Power BI Desktop, Zoho Analytics free to 10,000 rows), a card platform that reports spend because it holds it (Ramp, Brex, Mesh), and a template (Microsoft’s Excel budgets, Vertex42, Airtable and Notion galleries). Vendr’s free price checks benchmark SaaS quotes; Cledara’s ‘free’ plan is conditional on routing ten subscriptions through its cards. Prices are USD and were checked on 23 October 2026. How we score · All Kurums Free lists
TL;DR — the free spend tool that fits
- A real spend cube from exported AP data: Power BI Desktop — free with no caps on your own PC; sharing is $14 a user.
- Hosted dashboards for two people on a small ledger: Zoho Analytics Free — 10,000 rows, 5 workspaces, unlimited reports.
- Live spend reporting without building anything: Ramp or Brex — $0 a user with AI reporting, if your company qualifies for the card.
- A categorised spend register in a day: Airtable’s expense tracker template — 1,000 records free.
- A budget-versus-actual sheet for a department: Microsoft’s Excel budget templates or Vertex42.
Which spend analysis templates & tools tools have a free plan in 2026?
Every item below helps classify and report spend at no licence cost indefinitely, and the Scorecard says which kind of thing each is. Tools: Power BI Desktop (unlimited, local), Zoho Analytics (10,000 rows hosted), Airtable (1,000 records), Notion. Card platforms: Ramp, Brex and Mesh report spend they process, free to approved businesses. Templates: Microsoft’s Excel budget hub, Vertex42, the Airtable and Notion galleries. Benchmarks: Vendr’s free SaaS price checks. Conditional: Cledara’s basic plan is free only if you pay for ten applications through its cards in the first month; otherwise £100 a month.
We excluded the whole category of purpose-built tools: Coupa, SpendHQ, Sievo, Spendesk, Torii and Zluri quote or demo only; Smartsheet has no free plan; Procurify’s resources include no spend template; Google’s Workspace template gallery is not listed. Expensify is listed for honesty — its free Submit workspace is individual expense reporting, not team analysis.

Why it ranks here. A conditional free plan scored as a programme: the condition is a commitment, not a cap.
Which free spend tool has no credit-card requirement?
Power BI Desktop, the Microsoft and Vertex42 templates and Notion need nothing. Zoho Analytics states no card for its trial; Airtable, Vendr and Expensify do not state it. Ramp, Brex and Mesh are card programmes — the card is the product — and Cledara requires its cards as the condition of being free. Nothing here converts to a subscription on its own.
The friction in spend analysis is the data, not the tool: every free tool above needs an AP export or a card feed to classify, and the templates need someone to type. Ramp and Brex skip that step by holding the spend, which is why they rank above tools with more features.

How we score free tiers
Duration (30): free forever scores 30, a 30-day-plus trial 15, a trial of 14 days or less 8, credit-based tiers 12. Capacity (30): whether the limits carry a team of three for twelve months. Core job (25): whether the free tier does the category’s main work — here, classifying what the company spent, by supplier and category, and reporting it in a way the leadership will read. Friction (15): no card 15; card but no auto-charge 8; auto-charge 0; self-hosting deducts for setup and maintenance.
Each free tier was checked on the vendor’s pricing page on 23 October 2026; where the vendor page was silent, the Scorecard names the third-party source used. Free tiers change, so this list is re-verified every quarter and a discontinued free plan stays listed for one month with a notice. Order is by Free Score only. Kurums Free sells no placement; sponsorship, affiliate links and vendor requests never change a score, a rank or a label. Vendors can submit corrections to the Kurums editorial team.
How did we verify these free tiers?
We opened each vendor’s pricing, template or help page and recorded whether the item is a tool, a card platform, a template or a benchmark, its caps, licence terms and the paid step. Zoho Analytics’ Basic price could not be confirmed. Expensify’s row uses its help centre. For Airtable and Notion, the template galleries and plan pages were used. Coupa, SpendHQ, Sievo, Spendesk, Torii, Zluri and Smartsheet were excluded as having no free plan; Google’s Workspace template gallery is not listed.
Prices are USD except Cledara (GBP).
Frequently asked questions
Is there free spend analysis software?
No purpose-built one. Power BI Desktop (free, local) and Zoho Analytics (10,000 rows hosted) analyse exported spend; Ramp and Brex report spend free on cards they issue; the rest are templates.
Is Coupa or SpendHQ free?
No. Both are demo-only with no published pricing or free tier; Sievo, Spendesk, Torii and Zluri likewise.
Can I share a Power BI spend dashboard for free?
No. Power BI Desktop is free to build in, but sharing requires Pro at $14 a user a month paid yearly.
Is Cledara free?
Only conditionally: the basic plan is free if you pay for ten applications through Cledara’s virtual cards in your first month; otherwise it is £100 a month.
Does Ramp really analyse spend for free?
Ramp’s $0-per-user plan includes custom reports and AI reporting on the spend it processes; the condition is that your company is approved for Ramp and moves its cards and bills onto it.
What happened to Vendr?
Vendr is now part of Vertice, whose pricing lists no free plan. Vendr’s site still offers free SaaS price checks for benchmarking quotes.
