Eight apps let a small business capture receipts, track mileage and produce expense reports without paying — four hosted free plans and four card-funded platforms that give the software away because they earn on card interchange. That second model is the story of this category: the most complete free expense tools now come bundled with a corporate card. Prices are USD and were checked on 22 October 2026. How we score · All Kurums Free lists
TL;DR — the free expense app that fits
- US company that can qualify for a corporate card: Ramp or Brex — full expense management, bill pay and accounting sync at $0 per user; the card is the product.
- Team of three with no card program: Zoho Expense Free — expense reports, 20 receipt autoscans per user a month, mileage, basic approvals.
- Mileage is the main expense: Everlance Basic (30 auto-tracked trips a month, no card) or MileIQ (40 drives a month).
- Freelancer who already invoices on Wave: Wave Starter — manual expense records free; receipt capture is a paid add-on.
Which expense tracking apps tools have a free plan in 2026?
Every app on this page records business expenses indefinitely without a subscription. Four are conventional free plans (Zoho Expense, Everlance, MileIQ, Wave) and four are card-funded platforms (Ramp, Brex, Mesh, Expensify’s Submit tier) whose software is free because the vendor earns interchange when you spend on its card. We excluded Fyle, Rydoo, Pleo and Soldo, which have no free plan, and Shoeboxed, which charges a card at trial sign-up.
Free expense plans are capped by users (Zoho three), receipt scans (Zoho 20 per user a month), trips (Everlance 30, MileIQ 40) or by requiring the vendor’s own card and bank relationship (Ramp, Brex, Mesh). The card-funded tools are only open to businesses that qualify for the card, which in practice means a US entity with a bank account; the rest work anywhere.
The table shows the one limit most likely to push you to a paid plan, whether a card is needed to start, and the Free Score. The rows below open into the full Scorecard with every limit, the upgrade trigger, the cheapest paid step and the page we checked.

- Oct 2026 · costbench.com (verified 20 Oct 2026; expensify.com/pricing returned no plan data)
Why it ranks here. Expensify restructured its tiers in June 2026 and its pricing page would not render plan data to our fetch; the only readable source contradicts itself on the SmartScan cap. Scored conservatively and marked for manual re-verification.
Which free expense app has no credit-card requirement?
Everlance states that no card is needed; Zoho Expense says so for its trial. Ramp, Brex and Mesh do not state a sign-up requirement but are card products — you apply for the card and the software comes with it. MileIQ, Wave and Expensify do not state it, which we record as “not stated”. No free plan here converts to a paid one automatically.
The question that sorts this list is whether you can and want to take the vendor’s card. If yes and you are a US business: Ramp or Brex, and nothing else on the list competes. If no: Zoho Expense for a small team, Everlance or MileIQ if mileage is the expense, Wave if you are already there.
When does the free plan stop being enough?
Kurums Match: which free expense app fits your situation?
US startup, wants cards and expenses together

Everlance Basic (no card) or MileIQ (40 drives).
Mid-size company with $50K monthly spend

Freelancer on Wave
Wave Starter; add receipts at $8–11 when manual entry stops being worth it.

How we score free tiers
Duration (30): free forever scores 30, a 30-day-plus trial 15, a trial of 14 days or less 8, credit-based tiers 12. Capacity (30): whether the limits carry a team of three for twelve months. Core job (25): whether the free tier does the category’s main work — here, capturing receipts and mileage, coding them to categories and producing an expense report. Friction (15): no card 15; card but no auto-charge 8; auto-charge 0; self-hosting deducts for setup and maintenance.
Each free tier was checked on the vendor’s pricing page on 22 October 2026; where the vendor page was silent, the Scorecard names the third-party source used. Free tiers change, so this list is re-verified every quarter and a discontinued free plan stays listed for one month with a notice. Order is by Free Score only. Kurums Free sells no placement; sponsorship, affiliate links and vendor requests never change a score, a rank or a label. Vendors can submit corrections through the Update your free tier form.
How did we verify these free tiers?
For each product we opened the pricing page and recorded the free tier’s stated limits, the cheapest paid plan and its billing basis, and the card requirement if stated. Expensify’s pricing page returned no plan data to our fetch, so its row relies on a dated third-party source that contradicts itself on the scan cap; it is marked for manual re-verification. Everlance and Wave each show two prices for the same paid plan; we quote both. Fyle, Rydoo, Shoeboxed, Soldo and Pleo were checked and excluded; Stride’s app pricing could not be verified.
Prices are USD. Ramp, Brex and Mesh are card products whose software is free to approved businesses; we did not apply for a card to verify approval terms.
Frequently asked questions
Which expense tracking app is completely free?
Ramp and Brex are free per user if your business is approved for their cards; Zoho Expense is free for three users without any card; Everlance and MileIQ are free within monthly trip caps.
Does Expensify have a free plan?
Expensify’s Submit tier is free for individuals capturing and submitting receipts. Approvals, reimbursements and accounting sync require Collect at $5 a user. Its pricing page would not render to our fetch, so the scan cap is unverified.
Which free plan scans receipts?
Zoho Expense (20 autoscans per user a month), Expensify Submit (cap unclear), Ramp and Brex (receipt capture included). Wave sells receipt capture as an add-on; Everlance accepts uploads without OCR.
Can I use Ramp or Brex outside the US?
Both require a business that qualifies for their card and account, which in practice means a US entity. Zoho Expense, Everlance and MileIQ work anywhere.
Which free app tracks mileage?
Everlance (30 automatic trips a month), MileIQ (40 drives a month) and Zoho Expense (mileage included). Ramp and Brex handle mileage as reimbursements.
How is this different from the Best Expense Management Software comparison?
This list answers ‘where can I track expenses without paying’. The Best comparison answers ‘which one should I buy’. Both use the same no-sponsorship rule.
