What does expense management software actually replace?

Usually three things at once: the company credit card that only one person holds, the spreadsheet where employees list what they spent, and the shoebox of receipts that arrives at the finance team after month end. A modern platform issues cards with rules attached, captures the receipt at the moment of purchase, matches it to the transaction, applies the right tax and cost-centre coding and posts the result to the ledger.

The saving is rarely in the card itself. It is in the days at month end that finance currently spends chasing missing receipts and re-keying transactions, and in the spend that stops happening because a rule blocked it rather than because someone noticed it in a report six weeks later.

Cards, reimbursements or both?

Three shapes exist in this market, and the right one depends on how your people actually spend.

What should you compare?

How is it priced?

Three models are common: per active user per month; a platform fee with usage tiers; and free or heavily discounted software funded by interchange — the fee the card network pays the issuer on each transaction. The third is attractive but ties the economics to your card volume, so read what happens if spend falls or if you want to keep an existing bank relationship. Cross-border transactions usually carry an FX margin that is quoted separately from the subscription, and it is frequently larger than the subscription itself.

Ask for the FX and interchange arrangement in writing. On a company spending meaningfully in foreign currency, a difference of half a percentage point on FX will outweigh every line of the software quote.

What does your accountant need from it?

Involve whoever closes your books before you choose, not after. The questions that matter to them are unglamorous: does every transaction arrive with a valid tax document attached; can the export be posted without manual correction; are foreign-currency transactions booked at a rate the auditor will accept; and can prior periods be locked so a re-synced transaction cannot quietly change a closed month. A platform that fails any of these creates work rather than removing it, however good the app is.

What about cross-border and VAT?

If you operate in more than one country, two details decide how much manual work survives. The first is whether the platform can apply the correct tax treatment per country rather than one global rate. The second is whether it supports reclaiming VAT on foreign spend, either directly or by producing the documentation a reclaim agent needs. Neither shows up in a demo unless you ask for it with your own receipts.

Frequently asked questions

Do we still need a corporate card from our bank?

Often not for day-to-day spend, but many companies keep one banking relationship for guarantees, higher credit limits or local requirements. The practical question is whether your provider issues in the countries and currencies you actually spend in.

How is a spend management platform different from expense reporting?

Expense reporting handles money after it has been spent. Spend management tries to control it before: budgets, virtual cards per supplier or subscription, and approvals that happen at request time. Most products now do both, but their centre of gravity differs, and it shows in the workflow.

Will this replace our accounts payable process?

Sometimes. Several platforms now handle supplier invoices alongside card spend, which removes a second tool. Others focus on cards and leave AP to your ledger or a dedicated product. Deciding this early prevents buying overlapping systems.

What happens to receipts for audit purposes?

The platform stores the image and links it to the transaction, but retention obligations still follow local law and remain yours. Check the retention period offered, the export format, and whether the stored image is accepted as a tax document in each country where you operate.
