Headcount Cost Calculator

Headcount Cost Calculator

Payroll is usually the largest line in a company's budget, and headcount plans are often approved on salary alone. This headcount cost calculator uses the fully loaded monthly cost per person to show what a team really costs each month and each year, for CFOs, founders and HR leads building a hiring plan.

Your entries stay in this browser. Use Fill example to see a finished page first.

What this HR tool gives you

The result gives monthly loaded cost, annual loaded cost and the number of people, formatted in USD, EUR or GBP. Drop the two totals into a budget slide or a board pack. Everything you enter stays on this device, and there is no account to create.

What you enter

  • People: the number of employees in the team or plan
  • Average loaded cost per person, per month: salary plus the employer costs you want to include, in USD, EUR or GBP

Worked example

The example team has 6 people with an average loaded cost of $7,500 per person per month. Monthly loaded cost = 6 × 7,500 = $45,000. Annual loaded cost = 45,000 × 12 = $540,000. The page shows both totals next to the head count of 6, in the currency you chose.

How is headcount cost calculated?

Monthly loaded cost = people × average loaded cost per person per month. Annual loaded cost = monthly loaded cost × 12. Both are rounded to the cent.

The loaded cost is exactly the figure you type; the tool does not add taxes, benefits or overhead on its own. If you want benefits, employer taxes, equipment or software included, build them into the monthly figure first. Neither input can be negative.

Tips before you use the result

  1. Decide once what "loaded" includes (employer taxes, benefits, equipment, software) and use the same definition for every team.
  2. For a hiring plan, run the current team and the planned team separately so the increase is visible on its own.
  3. The annual figure assumes all people are on payroll for all twelve months; adjust for mid-year start dates in your budget.
  4. Use an average only for groups with similar pay; for a mixed team, run each level separately and add the results.

Frequently asked questions

What is fully loaded employee cost?

It is the total cost of employing someone, not just their salary. It typically includes employer payroll taxes, benefits, insurance and sometimes equipment and software. This calculator does not estimate those items for you; it multiplies whatever loaded monthly figure you provide.

How do I calculate annual headcount cost?

Multiply the number of people by the average loaded cost per person per month, then multiply by 12. The calculator does both steps and shows the monthly and annual totals, rounded to the cent, in the currency you choose. Round figures are shown without cents.

Can I enter a part-time or fractional headcount?

Yes. The number of people accepts decimals, so 2.5 can represent two full-timers and one half-time role. Make sure the loaded cost is a full-time figure in that case, or enter the part-time person's actual cost in a separate run.

Does it handle raises or new hires during the year?

No. It assumes the same people and the same monthly cost for all twelve months. For a year with raises or staggered start dates, build a month-by-month plan in your budget, and use this tool for quick run-rate checks. Rerun it whenever the team changes.
