We compared six legal hold tools on pricing model, trials, custodian notices and reminders, HR and directory integrations, in-place preservation and the main tradeoff each one asks you to accept.

By Kurums EditorialPricing checked 12 October 2026Updated 13 October 2026How we make money
TL;DR
  • Microsoft 365 shops with basic needs: Microsoft Purview eDiscovery — Standard eDiscovery holds are included with Microsoft 365 E3, which lists at $39 per user per month paid yearly.
  • Small legal teams wanting hold plus review: Logikcull — Corporate Suite bundles discovery, unlimited legal holds and collection from 31 or more sources.
  • Teams wanting per-GB pricing: DISCO Hold — Unlimited requests, users and custodians are included in the per-GB rate, with Workday and SAP SuccessFactors integrations.
  • Litigation teams already on Everlaw: Everlaw Legal Holds — Entra ID and Workday connectors, questionnaires, manager escalations and preservation in Microsoft 365 or Google Workspace.
  • Large enterprises with strict governance: Exterro Legal Hold — Employment status change notices and in-place preservation that suspends retention policies across systems.

Legal hold software helps an organization meet its duty to preserve information when litigation, an investigation or an audit is reasonably anticipated. It sends hold notices to custodians, records acknowledgments, sends reminders and escalates to managers when people do not respond, and keeps a defensible audit trail of every step. Better tools also preserve data in place in systems such as Microsoft 365, Google Workspace and Slack, and react when a custodian leaves or changes role. The buyers are in-house litigation and eDiscovery teams, legal operations, compliance and IT, and sometimes law firms managing holds for clients. The alternative, spreadsheets and email, is a common source of spoliation risk when a custodian is missed or data is deleted.

We compared six tools on these fields: pricing model, free plan or trial, notices, reminders and escalations, custodian and HR integrations, preservation in place, and the main limitation. Products are listed in practical buyer order, starting with tools you may already license and published pricing, and ending with quote-based enterprise platforms. This is not a quality ranking. We checked pricing, licensing and features on official vendor pages and documentation on 12 October 2026, and we label quote-based pricing where vendors do not publish numbers. This article is not legal advice.

The 6 options in detail

1

Microsoft Purview eDiscovery

Best for Microsoft 365 organizations

Best for: Organizations whose relevant data lives mainly in Exchange, OneDrive, SharePoint and Teams and that already license Microsoft 365.

AttributeMicrosoft Purview eDiscovery
Published pricingPart of Microsoft 365 licensing; E3 lists at $39 and E5 at $60 per user/month with annual commitment, paid yearly
Free plan or trialNo separate trial for holds; available within eligible Microsoft 365 subscriptions
Notices, reminders and escalationsLegal hold notification workflow and custodian communications require eDiscovery (Premium), included in E5 or the E5 eDiscovery and Audit add-on
Custodian and HR integrationsHolds on users, Microsoft 365 groups and distribution groups; distribution list expansion limited to 100 members
Preservation in placeHolds Exchange mailboxes, OneDrive accounts, SharePoint sites and Teams content; query-based holds supported
Main limitationCovers Microsoft 365 data only; holds can take up to 24 hours to apply and group membership is a point-in-time snapshot
  • eDiscovery (Standard) holds are included on Microsoft 365 E3 and higher, so many organizations already own basic preservation.
  • Query-based holds can narrow preservation using conditions or KeyQL, with non-matching content cleared every 7 to 14 days.
  • Custodian notice workflows need the Premium tier, and data outside Microsoft 365 such as Slack or Google Workspace is not covered.

Our take: Microsoft Purview eDiscovery is the first place to look if your relevant data sits in Microsoft 365. eDiscovery (Standard), included with Microsoft 365 E3 and higher, lets you create a case and place holds on mailboxes, OneDrive accounts, SharePoint sites and Teams content. eDiscovery (Premium), included in E5 or the E5 eDiscovery and Audit add-on, adds custodian management and a legal hold notification workflow. The documentation lists operational limits to plan around: holds can take up to 24 hours to apply, group membership is captured when the policy is created, so new members are not held automatically, and released locations stay under a 30-day delay hold. Every preserved user needs an eligible licence, and frontline F1 and F3 plans do not qualify. Test a hold on a pilot group and verify content is preserved. If you have Slack, Google Workspace or HR-driven custodian changes, compare with the dedicated tools below.

2

Logikcull

Best for small teams combining holds, review

Best for: Small and midsize legal teams that want legal holds, collection and document review in one self-serve platform.

AttributeLogikcull
Published pricingPay As You Go billed per GB stored monthly (10 GB minimum); annual Subscription; Corporate Suite with unlimited holds via sales; rates not shown
Free plan or trialSample matter for testing with no commitment; credit card needed to upload your own data
Notices, reminders and escalationsTemplate-based notices, automated reminders, non-acceptance alerts and manager escalations; silent holds; email or Slack delivery
Custodian and HR integrationsCustodian selection within the hold; HR system integrations not described on the legal hold page
Preservation in placeDirect connections to Google Vault, Microsoft 365, Slack and Box to preserve in place
Main limitationPer-GB rates are not printed on the pricing page, and legal hold inclusion outside Corporate Suite is unclear
  • A hold can be converted into a discovery matter, which shortens the path from preservation to review.
  • Silent holds place a custodian on hold without sending a notice, which suits sensitive internal investigations.
  • Unlimited legal holds are explicitly listed only on the Corporate Suite, which requires a sales conversation.

Our take: Logikcull, now part of Reveal, is a self-serve discovery platform that adds legal holds to collection and review. Its legal hold page describes template or custom notices, reminder schedules, alerts when custodians do not accept, manager escalations and delivery by email, Slack or both. Silent holds let you preserve without notice for investigations. Preservation connects to Google Vault, Microsoft 365, Slack and Box, and a hold can become a discovery matter without re-collecting data. Pricing is structured as Pay As You Go per GB stored with a 10 GB minimum, an annual Subscription, and a Corporate Suite that includes unlimited legal holds and collection from 31 or more sources, with promotional pricing stated until 31 December 2026. The pricing page does not print per-GB rates, so request them. Ask whether legal hold is included in the Pay As You Go plan and how custodian lists are maintained without an HR integration.

DISCO Hold

Best for HR-driven custodian management

Best for: Corporate legal teams that want custodian lists synced from HR and directory systems, with hold pricing included in a per-GB rate.

AttributeDISCO Hold
Published pricingPriced per GB; unlimited requests, users and custodians included in the per-GB rate; rates via quote
Free plan or trialNo free trial listed; demo and quote form
Notices, reminders and escalationsTrack notices and updated versions; customizable reminders; questionnaires and escalation not described on the product page
Custodian and HR integrationsActive Directory, Google Directory, Workday and SAP SuccessFactors; IT asset integrations with Oomnitza and Teqtivity
Preservation in placeOne-click preserve in place for Microsoft 365, Google Workspace and Slack
Main limitationPer-GB rate is not published, so cost depends on data volumes you must estimate in advance
  • HR integrations help identify custodians and react to changes, reducing missed custodians on long-running holds.
  • Hold notices can alert IT to preserve or image devices through Oomnitza and Teqtivity integrations.
  • The product page does not describe questionnaires or manager escalations, which some teams need for defensibility.

Our take: DISCO Hold is a cloud legal hold module within DISCO's eDiscovery platform. Its distinguishing feature is integrations: custodian data can come from Active Directory, Google Directory, Workday and SAP SuccessFactors, and hold notices can trigger device preservation through IT asset tools Oomnitza and Teqtivity. Preservation in place covers Microsoft 365, Google Workspace and Slack, and data can later be collected selectively for review in DISCO. The pricing page states that Hold is billed per GB, with unlimited requests, users and custodians included, but it does not publish the rate. DISCO claims up to 85 percent time savings over manual holds, which is a vendor figure to test with your own workflow. During evaluation, ask to see custodian changes flow from your HR system into an active hold, how reminders and escalations are configured, and how the per-GB charge is calculated for preserved but uncollected data. Compare with Everlaw if you need questionnaires and scheduled escalations.

Everlaw Legal Holds

Best for teams already using Everlaw

Best for: Litigation and investigations teams that review in Everlaw and want holds, questionnaires and escalations in the same platform.

AttributeEverlaw Legal Holds
Published pricingQuote-based; the pricing page lists features without dollar amounts and links to separate Legal Holds pricing
Free plan or trialNo free trial listed; demo
Notices, reminders and escalationsCustom notice templates, automated re-notifications, scheduled manager escalations, built-in questionnaires and silent holds
Custodian and HR integrationsConnectors to Microsoft Entra ID and Workday to identify and manage custodians automatically
Preservation in placePreserve custodial data at the source in Microsoft 365 or Google Workspace without relying on IT
Main limitationStrongest value when you also use Everlaw for review; pricing must be quoted
  • Scheduled manager escalations and questionnaires cover the full notice lifecycle that defensibility reviews often check.
  • An automated audit trail records holds across the organization, supporting later challenges to preservation steps.
  • Pricing is not published, and Slack preservation is not described on the Legal Holds page.

Our take: Everlaw is a cloud eDiscovery and litigation platform, and its Legal Holds product brings preservation into the same environment. The feature set is complete for the notice lifecycle: custom templates, automated re-notifications, scheduled manager escalations, built-in questionnaires to learn where custodians keep data, and silent holds for sensitive matters. Custodians can be managed automatically through connectors to Microsoft Entra ID and Workday, and data can be preserved at the source in Microsoft 365 or Google Workspace without filing an IT ticket. An automated audit trail records each step. Everlaw does not publish pricing; its pricing page links to separate Legal Holds pricing, so request a quote. The main fit question is whether you review in Everlaw: if you do, moving held data into review is straightforward. In evaluation, ask about Slack and other sources you use, how departing employees are handled, and how questionnaire answers are reported. Compare with DISCO Hold if your custodian data comes from SAP SuccessFactors.

6

Exterro Legal Hold

Best for large enterprises with governance programs

Best for: Large and multinational organizations that need employment-change monitoring, retention policy suspension and EU privacy controls.

AttributeExterro Legal Hold
Published pricingQuote-based; no pricing on the Exterro legal hold pages
Free plan or trialNo free trial listed; demo
Notices, reminders and escalationsPrecise timing and consolidation of notice distributions; custodian tracking of actions, compliance levels and tasks
Custodian and HR integrationsFusion Employee Monitor sends automated notices when employment status changes; HR connector details via demo
Preservation in placeFusion In-Place Preservation suspends retention policies for structured and unstructured data
Main limitationEnterprise scope and quote-based pricing are more than a small legal team needs
  • Employment status change notices reduce the risk of losing data when custodians leave or move roles.
  • Multinational support includes EU compliance and optional data privacy controls.
  • There is no public pricing, and the public product pages give few details on reminders and questionnaires.

Our take: Exterro sells legal hold as part of a broader legal governance, risk and compliance suite that also covers eDiscovery, privacy and forensics. Its legal hold product focuses on enterprise controls: consolidated and timed notice distribution, tracking of custodian actions and compliance, Fusion Employee Monitor for automatic notices when employment status changes, and Fusion In-Place Preservation, which suspends retention policies across structured and unstructured data. Multinational support includes EU compliance and privacy controls, which matters when holds involve employees in several countries. Exterro also acquired Zapproved, whose ZDiscovery platform covers holds, preservation and collection, and Zapproved's site now routes demos to Exterro, so ask which hold product fits your size. Pricing is quote-based. In evaluation, test a departing-employee scenario, confirm which HR system connectors are supported, and ask how retention suspension is applied to systems such as your ERP. For a small team, Logikcull or Microsoft Purview will be quicker to adopt.

How to choose legal hold software

Where your data lives

List every system that could hold relevant information: email, file shares, Microsoft 365, Google Workspace, Slack, Box, HR systems, ERP and devices. If almost everything is in Microsoft 365, Purview holds may cover preservation, and you may need only a notice workflow. If data spans several platforms, look for preservation connectors to each one, as Logikcull, DISCO, Everlaw and Relativity describe. Ask how preservation is verified and what happens when a connector fails, since a silent failure is the scenario that creates spoliation risk.

Notice lifecycle and defensibility

A defensible hold process usually includes a clear notice, a custodian acknowledgment, scheduled reminders, escalation to managers when people do not respond, questionnaires about where data is kept, and a release notice at the end. Check which of these each tool supports and whether all steps are logged in an audit trail you can export. Everlaw and Logikcull describe escalations, while other vendors' public pages are less specific. Your preservation obligations depend on jurisdiction and facts, so confirm requirements with litigation counsel; this is not legal advice.

Custodian changes and HR integration

Holds often last for years, and custodians join, move and leave. Without an HR integration, someone must notice that a held employee has resigned before their mailbox and laptop are wiped. DISCO lists Workday, SAP SuccessFactors and directory integrations, Everlaw lists Entra ID and Workday, and Exterro offers employment status change notices. Microsoft Purview captures group membership at the moment a hold is created, so new members are not added automatically. Test a departure scenario during evaluation. Ask how the vendor handles contractors and shared mailboxes too.

Connection to collection and review

Preservation is only the first step. Consider how held data moves into collection, processing and review when a matter proceeds. Tools from eDiscovery platforms, such as Logikcull, DISCO, Everlaw and Relativity, can move held data into review in the same environment, which reduces chain-of-custody steps and duplicate fees. If you use a different review platform or outside providers, check export formats and whether your providers support the tool you choose. Also confirm who can access held data and how access is logged.

Pricing model and volume

Legal hold pricing ranges from Microsoft 365 licences to per-GB rates and enterprise quotes. Per-GB models, such as DISCO and Logikcull's Pay As You Go, depend on how much data is preserved or stored, so estimate volumes over the life of a typical hold. Subscription models are easier to budget but may limit users or matters. Ask whether preserved-in-place data counts toward billing, whether custodians or holds are unlimited, and how costs change when a matter moves into review. Ask for a written example invoice for a typical matter.

How legal hold software pricing works

Legal hold pricing follows three main models. The first is platform licensing: Microsoft Purview eDiscovery (Standard) holds are included with Microsoft 365 E3, listed at $39 per user per month with annual commitment, and the Premium tier with custodian notifications is included in Microsoft 365 E5 at $60 per user per month or through the E5 eDiscovery and Audit add-on. Every preserved user needs an eligible licence. If you already pay for these plans, basic holds add no direct cost, but notice workflows and non-Microsoft data may still require another tool.

The second model is volume-based pricing. DISCO bills Hold per GB, with unlimited requests, users and custodians included in that rate, and Logikcull's Pay As You Go plan is billed per GB stored each month with a 10 GB minimum. Neither vendor prints the per-GB rate on its pricing page, so request written rates. The third model is enterprise subscription pricing, used by Everlaw, Relativity and Exterro, where quotes reflect users, data sources, modules and contract term. Logikcull's Corporate Suite, which includes unlimited legal holds, is also sold through sales.

Compare total cost over a realistic hold lifespan, often two or more years, and include the cost of moving data into review. Ask whether released holds stop billing immediately and whether historical audit logs remain available after cancellation. Add internal time for IT to configure connectors and for legal operations to maintain notice templates, and budget for outside counsel to review notice language for each jurisdiction where custodians work.

Buying tip

Run one realistic test hold during evaluation that includes a custodian who leaves mid-hold and data in at least two systems. Then ask each vendor to produce the full audit trail export, because that report is what you will rely on if preservation is ever challenged.

Legal Hold Software: frequently asked questions

What is legal hold software?

Legal hold software manages the process of preserving information when litigation or an investigation is anticipated. It sends hold notices to custodians, records acknowledgments, sends reminders, escalates non-responses, preserves data in systems such as Microsoft 365 or Google Workspace and keeps an audit trail. It replaces spreadsheets and email tracking, which are prone to missed custodians and lost data.

Can Microsoft 365 handle legal holds without other software?

Partly. Microsoft Purview eDiscovery (Standard), included with Microsoft 365 E3, can place holds on mailboxes, OneDrive, SharePoint and Teams. The legal hold notification workflow and custodian management require eDiscovery (Premium), included with E5 or an add-on. Data outside Microsoft 365, such as Slack or Google Workspace, needs another tool. Check licence eligibility for every custodian.

How much does legal hold software cost?

Costs vary by model. Microsoft Purview holds come with Microsoft 365 licences, such as E3 at $39 per user per month paid yearly. DISCO Hold and Logikcull Pay As You Go use per-GB pricing, with rates provided on request. Everlaw, Relativity and Exterro are quote-based. Compare total cost over the expected life of your holds.

When does the duty to preserve begin?

In general, the duty to preserve arises when litigation is reasonably anticipated, not only when a lawsuit is filed. The exact trigger and scope depend on jurisdiction, court rules and facts, so consult litigation counsel. This article is general information, not legal advice. Software helps you act quickly and document what you did once a hold is needed.

What is a silent legal hold?

A silent hold preserves a custodian's data without sending them a notice. It is often used in internal investigations where notifying the person could lead to deletion or tipping off. Logikcull and Everlaw describe silent holds. Whether a silent hold is appropriate depends on the matter and applicable rules, so involve counsel.

What happened to Zapproved?

Zapproved, known for its ZDiscovery platform covering legal holds, preservation and collection, has been acquired by Exterro, according to Zapproved's own website, which now routes demo requests to Exterro. Existing customers should ask Exterro about product roadmap, migration plans and contract terms. Logikcull is likewise now part of Reveal, which also sells Reveal Hold.
