Board Meeting Agenda Template
A board meeting runs better when every agenda item is a decision, with a name next to it and papers sent in advance. This template builds that agenda on one page. It is for founders, company secretaries, CFOs, and chairs preparing a board or advisory meeting who want fewer status updates and more decisions.

What this corporate governance tool gives you
The output is a titled agenda with the date and time, then a table of Decision, Owner, and Papers. Any missing owner or paper is written as "Still blank" and listed in a closing note, so you can chase it before the pack goes out.
What you enter
- Meeting name, for example "Fieldnote board" (defaults to "Board agenda")
- When: date, day, or time of the meeting
- Agenda rows, each with a decision (required), an owner, and the papers to read beforehand; add or remove rows as needed
Worked example
The example agenda is titled "Fieldnote board" for the first Monday of the month at 9:00 a.m. It has three decisions: approve the hiring scorecard (owner Maya, papers: scorecard draft), choose a print vendor (Jonah, vendor comparison), and note the cash position (Maya, 12-month cash). Every row is complete, so the closing note only restates the one-decision-per-row rule.
How should a board agenda be structured?
The template follows one rule: one decision per row. The agenda appears once at least one decision is written. Any row that has an owner or papers but no decision triggers a warning until the decision is filled in.
Each row goes into a three-column table. A blank owner or blank papers cell is shown as "Still blank", and the closing note names each decision that still needs an owner, papers, or both. Papers are defined on the page as what the board should read before it decides.
Tips before you use the result
- Write each item as a verb the board can act on: approve, choose, note. "Marketing update" is not a decision.
- Send the papers named in the table at least a few days ahead so the meeting is spent deciding, not reading.
- Clear every "Still blank" before the pack goes out; a decision with no owner tends to come back next month.
- Put the decisions that need the most discussion first, while attention is highest.
Frequently asked questions
What should be on a board meeting agenda?
In this template, only decisions, each with an owner and the papers the board should read first. Updates can go in the papers themselves. Many boards also add standing items such as approving the previous minutes; enter those as rows like any other decision.
Who prepares the board meeting agenda?
Usually the chair together with the CEO, with a company secretary or CFO assembling the pack. The template does not assign that role; it gives whoever prepares it a single place to list decisions, owners, and papers, and it flags any gaps.
What are board papers?
The documents the board reads before it decides an item, such as a draft policy, a vendor comparison, or a cash forecast. In the template, each decision row has a Papers field, and a blank one is flagged so nobody arrives to decide without having read anything.
Can I reuse the agenda for the next meeting?
Yes. The agenda stays in your browser between sessions, with nothing to sign up for, so next month you can open it, change the date, and replace the rows. Copy or print the current version first if you need a record of it.
