What does marketing automation actually do?
Marketing automation connects what people do (visiting pages, filling in forms, opening emails, using your product) to what happens next. It keeps a contact record for each person, tracks their behaviour, groups them into segments, and triggers messages or tasks when conditions are met: a nurture sequence after a whitepaper download, an alert to sales when a lead's score crosses a threshold, a win-back journey when a customer goes quiet.
The value is consistency at scale. Without automation, follow-up depends on someone remembering to do it. With it, every lead gets the same timely treatment, and marketing can prove which programmes produced pipeline. The catch is that the platform only automates a process; if you have not defined your lifecycle stages, lead scoring rules and hand-off to sales, the software will faithfully automate confusion.
Modern platforms also act as a data hub. They collect website and product events, enrich records from forms and integrations, and push audiences back out to advertising networks and sales tools. That makes the quality of the underlying data model, and how well it matches the way your business actually sells, at least as important as the journey builder demonstrated in the sales pitch.
B2B lead management or B2C customer engagement?
Vendors in this category split into two families with different data models. Picking from the wrong family is expensive to undo.
| Approach | Built around | Typical fit |
|---|---|---|
| B2B lead management | Leads, accounts, scoring, CRM sync and campaign attribution | Companies with sales teams and long, multi-person buying cycles |
| B2C customer engagement | Real-time events, large audiences, app push, SMS and personalisation | Retail, subscription, consumer app and travel brands |
| All-in-one small business suite | Email, simple workflows, forms and a light CRM in one product | Small teams without a separate CRM or marketing operations staff |
| Open source / self-hosted | Full control of code and data, run on your own infrastructure | Organisations with developer capacity and strict data residency needs |
A useful test: if your key question is "which accounts are ready for sales?", you are in B2B lead management. If it is "what should this customer see in the next five minutes?", you need a B2C engagement platform.
What should you compare before you shortlist?
Take a real journey you want to run and ask each vendor to show it, not describe it.
| Criterion | What to ask |
|---|---|
| CRM integration | Is the sync bi-directional, how often does it run, and how are conflicts and duplicates resolved? |
| Data model | Can we store custom objects such as subscriptions, events or products, or only contact fields? |
| Journey builder | Can a journey branch on behaviour, wait for events, handle re-entry and exit contacts on conversion? |
| Scoring | Can we combine fit and engagement scores, decay scores over time and score at account level? |
| Channels | Which channels are native (email, SMS, push, web, ads audiences) and which require add-ons? |
| Attribution and reporting | Can we report pipeline and revenue by campaign with more than first- or last-touch models? |
| Administration | What skills does day-to-day running need, and how are permissions, sandboxes and audit logs handled? |
How is marketing automation priced?
Most platforms charge a platform fee plus a variable tied to the number of marketable contacts in the database; enterprise B2C tools more often price on monthly active users or message volume. Tiers unlock features such as custom objects, advanced attribution, sandboxes or additional business units. Onboarding and implementation are frequently mandatory paid packages, and extra channels such as SMS are billed on usage.
Contracts are typically annual and sometimes multi-year, with price increases at renewal. Exit terms matter as much as entry price: confirm you can export contacts, activity history and assets in a usable format. Negotiate contact-band headroom and renewal caps before you sign, not after the database has grown. Ask too whether you can archive or suppress inactive contacts so they stop counting towards the billable total, and whether sandboxes, extra users or additional brands carry separate fees.
What usually goes wrong?
The most common failure is buying an enterprise platform and using it as a newsletter tool. Without a marketing operations owner, lead scoring is never tuned, journeys are never updated and the organisation pays for capability it does not use. Be honest about who will run the system week to week.
Data quality is the second trap. Duplicate records, unmapped CRM fields and inconsistent lifecycle stages break personalisation and make reports untrustworthy. Clean and map data before migration, and agree definitions of MQL, SQL and customer with sales in writing.
Third, scoring models are often set once and forgotten. Review them against closed-won deals every quarter; if high-scoring leads are not converting, the model is wrong. Finally, over-automation erodes trust: stacked journeys can send the same person several messages a day. Set global frequency caps and a single owner for the journey map, and retire journeys that no longer serve a clear purpose.
Frequently asked questions
What is the difference between email marketing and marketing automation?
Email marketing tools focus on sending campaigns to lists, with basic automated sequences. Marketing automation platforms add behaviour tracking, lead scoring, multi-channel journeys and CRM integration, and are designed to manage contacts across the whole lifecycle rather than one channel.
How long does implementation take?
A small business can be sending automated journeys within weeks. A B2B enterprise implementation with CRM integration, scoring, data migration and template rebuilding typically takes several months. The timeline is driven more by data clean-up and internal decisions than by the software.
Do we need a CRM first?
For B2B, usually yes, or a platform with a built-in CRM. Marketing automation generates and qualifies leads, but sales needs somewhere to work them. Deciding the CRM first avoids integration surprises later. Some vendors bundle both, which simplifies the sync but ties marketing and sales to one supplier's roadmap and renewal terms.
Is open-source marketing automation a realistic option?
It can be for organisations with in-house developers and strict data residency requirements. You avoid licence fees but take on hosting, security updates, deliverability set-up and support yourself, so budget for that effort honestly.
How this directory is compiled
Every company on this page was added by our editors from publicly available information: the product name, what it does in one line, and a link to the vendor's own site. No company paid to be listed in the free section, none was asked for approval, and inclusion here is not a recommendation — it is a starting point for a shortlist you should verify yourself.
The block at the top of the page is different and is labelled as such. Positions there are paid: a company chooses a daily bid and a number of days, pays once, and sits above the free listings for that period, ordered by bid. That is advertising, it is disclosed on every listing, and it has no influence on our editorial comparisons or on the Kurums Trust badges, which are earned against published criteria and are never for sale.
Pricing, feature and availability details change constantly in these categories, so we deliberately keep vendor descriptions here short and factual, and leave verified pricing to the dated editorial comparisons. Check the vendor’s own pricing page before you make a decision, and treat anything you read in a directory — including this one — as a list of candidates rather than an answer.
